Beta SPACE-gallery: Exhibition Guidelines

Guidelines for planning exhibitions in the Beta SPACE Gallery, Otakaari 1, A-Wing, 1st floor

Beta SPACE-gallery Reservation Booking System

Two week period is recommended, any exhibition plans for longer durations should be emailed to curator Jonna Utriainen [email protected]

Exhibitors can submit a booking request directly on booking.aalto using the exhibition spaces and selecting ‘Beta Space Otakaari 1’ or using this direct link to the calendar: https://booking.aalto.fi/onlinekalenteri/aaltobooking/?kt=fav&laji=N%E4yttelyalueet&sijainti=&ctila=22248 

Please remember to select 9:00-19:00 and check all weekdays between start and end dates when making your booking. Do not make one day reservations. If you are uncertain how this is done, contact curator Jonna Utriainen ([email protected])

Overall guideline

For accessibility there must be a minimum 2 meter wide pathway through the hallway as an emergency route. Works and pedestals should be placed next to the walls so that there is a direct passage in the middle.  It is recommended to avoid placing pedestals or tables in the middle of the corridor.

Emergency exit routes and fire extinguisher locations must remain unobstructed by any furniture, equipment or other items brought by the exhibitor or any Beta SPACE furniture rearranged by the exhibitor. Keep 2 meter straight line in the space to ensure safety route in emergency.

The marble pedestals in the room should not be moved and exhibitors do not have permission to move them. They are heavy and this action could result in injury and, or damage to the materials like floor. 

Do not turn or twist the light fittings in the ceiling. These should not be touched or adjusted by exhibitors as they are not designed as adjustable spot lights. For questions around lighting please contact the curator or Lobby Services. If you want lights to be turned off, Lobby Services can turn the lights off.

Black, white and natural timber pedestals are stored in the storage corner, near Lobby service in A-wing of Otakaari 1,  Undergraduate Centre. There are also ladders. All pedestals in Beta SPACE are included to the reservation of the space, so no need to reserve them separately. 

Exhibition organizers may borrow and use these pedestals and tv screens for exhibitions in the Beta SPACE gallery but must be returned to the storage corner and organised in the same way as illustrated in the images below

Beta SPACE-gallery Code of conduct:

  • The brass hanging bars designed by Alvar Aalto in the Beta SPACE gallery are located in the gallery space. To use the brass hanging bars, ask Lobby Services to open the lock. These brass bars are used in the space by hanging them from the roof bar, the brass bars have clamps for hanging the work. These clamps can be found in the exhibition cart.
  • The marble wall of the space must not be taped or attached to the work with nails, etc.. There are suspension bars on the ceiling to secure the work by hanging them in front of the marble wall.
  • No taping on the gallery floor, e.g. extension cords or papers.
  • No extension cords should be placed on the floor of the room to run across the floor. All cords should be installed to run from above / overhead. This is to minimize the risk of tripping.
  • The wood panel wall of the space can be used to attach works if necessary. However, you can use small nails, small screws, and other small mounting needs such as rivets / pins / pins if you want to attach something to that wall. Taping is also alright. These small hanging accessories can be found in the exhibition cart.
  • Exhibition cart with tools and similar accessories for erection and dismantling can be used in Beta Space. This cart can be found in A-wing 1st floor. There are also some suspension hanging options available on request to attach to bars and wires. To get the cart, ask Lobby Services to unlock the cart.
  • Do not use tape on the windows

Lighting

A/V Equipment

  • Beta SPACE-gallery has two (2) TV screens
  • Electricity sockets are only president on the wood panelled wall, there are some extension cords to borrow for the exhibitions.
  • Other A/V equipment should be borrowed from TakeOut

Cleaning:

  • Exhibitors are responsible for cleaning their exhibition space during and after the exhibition.
  • The exhibition space must be cleaned after opening events as well.
  • Exhibitors should return all furniture to their rightful places and return all borrowed accessories/equipment back to exhibition cart.

Insurance and release of liability

  • The Beta Space Gallery has no responsibility for exhibition insurance coverage or for incidents of injury or theft occurring at the event. We recommend that exhibitors obtain insurance against loss or damage and indemnity insurance for their own goods, items, devices and furnishings if needed.
  • The setting up of all artwork and other items for display at the Beta SPACE gallery, Otakaari 1 A-Wing occurs at the owner’s risk.
  • Should building property incur loss or damage during an exhibition, the costs of repair or replacement will be charged to the exhibitor.
