Events at Marsio: Instructions for Organisers

Marsio, the campus meeting point open to all, will open its doors in September 2024. Marsio's facilities are equipped with new technologies that enable cross-disciplinary research and teaching, and take Aalto University's events to a new level, both on campus and virtually. The building offers a view of the university's research, teaching and impact. The event spaces of Marsio are mostly located on the ground floor of the building.
285 square metres of open, flat-floor event space with state-of-the-art event technology provides a high quality setting for event experiences for both live and remote audiences.
The technology of Marsio Stage includes a 4K wall of video monitors (6m x 4.5m), high-quality stage lighting in different lighting conditions, and distributed speakers for excellent sound level control throughout the space. Five high-quality robotic cameras provide a variety of angles for live streams.
Marsio Stage is primarily used for open public events as the entrances to the space cannot be individually closed. The space can be easily transformed into a black box with the use of black curtains, which can also be moved in front of the doors if required. The Stage, as the name suggests, is equipped with a large stage.
Marsio's large exhibition space (approximately 240 square metres) provides a new environment for Aalto University's exhibition activities. The space can also be rented for events together with the Event Stage or separately. Together, the Stage and Studio can accommodate events for over 400 people.
The 150-seat Marsio Cinema (including 2 wheelchair spaces) offers the opportunity to organise high quality film screenings on campus. The cinema is mainly used for educational purposes, but can also host screenings and events on days off.
The restaurant does not have a license to serve alcohol in the cinema.
This black box studio space is primarily used for teaching purposes. The space can be rented for events outside of teaching bookings.
The space will be opened for event use at the beginning of 2025.
Initially, the facilities will only be rented for events organised by Aalto University or its student organisations.
Each event must have a producer who is responsible for the practical arrangements and marketing of the event.
Marsio events aim to promote Aalto University's research, arts and activities to a wider audience outside the university community, and a wider audience can be reached through high quality live streaming and event recordings.
Marsio event spaces are best adapted for open events that welcome also walk-in guests. Events at Marsio often engage partners, either as participants or co-organisers. For internal, closed events, we encourage event organisers to primarily use other venues on campus.
The event spaces in Marsio offer a chance for hosting versatile events ranging from seminars to film screenings, open lectures to fashion shows. Aaltonians are encouraged to be open-minded and creative in the use of Marsio event spaces.
The facilities are equipped with high quality event technology, so there is no need to order av-technology from external suppliers. Marsio event packages include the spaces, AV technology and staff to operate the AV equipment.
Event organisers can ask for an offer for an event package by completing the form at the bottom of the page. Please ensure that you ask for the offer well before you event. Marsio event curator will collaborate with the technical staff of Marsio and recommend the event package to each client's needs. After receiving the offer, it is important to accept/reject it latest by the deadline mentioned in the offer.
The rental price of a Marsio to an event organiser is mainly determined by the technical requirements of the event. In addition to the use of event technology, the number of AV technicians on the day of the event and in preparation for the event is also taken into account in the pricing. The cost of using the facilities may also be affected by complex furniture and equipment setup requirements.

Event example: A two-hour event including individual stage presentations and a panel discussion. Maximum 4 microphones used. Stream (on Aalto Youtube) includes only one wide camera angle and no graphics (e.g. lower third animations).

Event example: The event includes individual speeches on stage and a panel discussion. Maximum 4 presenters on the stage simultaneously. Total of 6 available microphones. The event includes also a multi-camera stream OR remote speakers OR the need for a teleprompter OR it includes a musical performance.

Stage + Event Studio, tech package L
Complex productions with event technology requirements in both spaces. Stage programme operated from the Marsio Stage and projected on the wall of the Event Studio. Audience capacity can be increased to over 400 people. Larger panel discussion possible (up to 8 microphones). Custom graphics and streaming platforms possible.

In August 2024, a restaurant will open on the first floor of Marsio, where you can order catering for Marsio events. Event organisers can already ask for catering offers by contacting [email protected].
The restaurant has a license for servicing alcohol in the Stage, in the Event Studio, in the first floor lobby area, and in the Living Room on the third floor.

Preferably arrange your closed events and team meetings in the buildings nearby and come to Marsio for lunch, visiting exhibitions and events and Aalto University Shop. The tours are being planned, but the implementation is still under way. By having lunch at Marsio and visiting the Designs for a Cooler Planet exhibition (the exhibition is open on 6.9.-3.10.), you can already explore at least the first floor on your own. It may be more meaningful to visit the other floors of Marsio a little later, when research and teaching activities have begun to establish themselves there. We will announce on Marsio's website and in the news once the implementation of the tours has been decided.
