Event Coordinator

We are now seeking an enthusiastic and motivated EVENT COORDINATOR for a permanent position at the School of Science at Aalto University. The position starts in early autumn 2024 or as agreed. 

Your Role 

As an Event Coordinator, you will ensure the excellent organization of our school's events. You will arrange events for the school and its departments, such as conferences, summer schools, and visits, in collaboration with various stakeholders. An important part of your job is to produce the annual Shaking up Tech event together with the responsible producer. 

Your tasks will include, depending on the needs of each event: 

  • Creating event production plans 

  • Producing and updating website and social media content 

  • Acting as a contact person, for example, with partners, event participants, and schools 

  • Recruiting and training students working at events 

  • Coordinating and implementing event arrangements, such as registration, travel expense claims, accommodation bookings, catering, and preparation of event venues 

What We Expect from You 

Success in this role requires previous experience in event organization and good IT skills (websites, image editing, social media) with the ability to learn new systems to support your work. The role also requires taking initiative, good organizational skills, and the ability to operate flexibly in changing situations. We hope you have an enthusiastic attitude towards work and the ability to handle details accurately while keeping an overall perspective. 

The position involves extensive collaboration with various stakeholders, and we expect strong interpersonal skills from you. In our international work environment, you need fluent Finnish and English skills, both spoken and written; good Swedish skills are an advantage. We hope you have a relevant university degree or equivalent competence acquired through other means.

The salary for the position is determined according to the salary system used at Aalto University. The total salary at the start of the employment is approximately €2800-3200/month, depending on previous experience and skills.
