Authenticity of documents and country-specific requirements in doctoral admissions

Doctoral applicants who are asked to submit the hard copy documents find specific instructions on this page. There are country-specific document requirements for educational documents awarded in certain countries.

Demonstrating the authenticity of documents

When submitting the electronic application to doctoral studies, scanned copies of the original study documents (i.e. Master’s degree certificate and transcript of records) are uploaded to the online application system in PDF format.

A later stage of the admission process involves demonstrating the authenticity of the degree certificate and the transcript of records with hard copies (or in some cases, by electronic verification). Each Doctoral Programme gives specific instructions concerning the demonstration of authenticity of the documents and what are the accepted methods. Please read carefully the application instructions of the Doctoral Programme you are applying to.

The applicants must follow the country-specific requirements (see below) for submitting documents, if the degree is awarded in: Australia, Bangladesh, Cameroon, Canada, China, Eritrea, Ethiopia, Finland, Ghana, India, Indonesia, Iran, Ireland, Kenya, Malaysia, Nepal, New Zealand, Nigeria, Pakistan, South Africa, Sri Lanka, Sudan, the United Kingdom or the United States.

Note that there is a country-specific requirement also for degrees completed in Finland. As a rule, hard copies of educational documents are not required for studies completed in Finland. However, read the country-specific instructions below carefully for exceptions.

Trusted electronic verification is one method of demonstrating the authenticity of the documents. There are country-specific requirements for electronic verification and restrictions to which documents can be verified electronically. If you hope to use some other service than the ones listed under Country-specific document requirements below, please be in contact with the Doctoral education services of the Doctoral programme you are applying to. Aalto University reserves the right to decide case by case which electronic services it will accept.

Submitting certified copies is one method of demonstrating the authenticity of the documents.

Country-specific document requirements

There are country-specific document requirements for educational documents awarded in certain countries. The list of countries is below. Note that the list includes Finland as well.

If the country-specific requirement concerns one document only (e.g. transcript of records), the rest of the educational documents (e.g. degree certificate) must be submitted following the accepted methods of the Doctoral Programme.

We strongly recommend using a courier service for shipments from outside the European Union instead of regular mail.
