Distribution group (email list) management as department administrator
Please note that this is only possible for groups created by department administrators from the IdM portal. Groups created automatically by IdM or created directly in Active Directory cannot be managed using this method.
The guide also provides general information about the creation and management of distribution groups.
School-specific, commonly used and automated distribution group
- School-specific distribution groups are ordered for the needs of a specific school, for a specific purpose (for example school’s internal project or function). These distribution groups are created and managed by the department administrators of the school.
- Commonly used and automated distribution groups are ordered for the needs of broader entity, such as multiple schools or the entire Aalto organization (for example Aalto-wide projects or functions). The creator of these distribution groups depends on the type of group it is:
- Manual, commonly used groups are created by Postmasters or EUS
- Groups with automation (dynamic membership) are created by IAM.
- In both scenarios, the end user submits a request to create a distribution group to [email protected]. IT Service Desk directs the creation of the distribution group to the right party based on the above instruction.
- If the requester's message does not specify whether they want to create a school-specific distribution group, a distribution group with wider distribution, or an automated distribution group, this information needs to be verified with the requester.

Resource mailboxes and mailing lists
When an Aalto University unit, department, a project, etc. offers e-mail addresses outside Aalto University, it is advisable to use an organizational address instead of a person’s own address. You can have either a resource mailbox or a mailing list to use with the organizational address.
This article will set out the differences between a resource mailbox and a mailing list to help you choose which is the right option for you.
E-mail & calendar
All those with an Aalto ID are entitled to use e-mail and calendar. You can use Aalto cloud e-mail and calendar also with webmail.
