Visitors to Aalto University

A visitor is defined as an individual who is not employed by Aalto University and, as a result, does not receive a salary from the university. However, they may require access to Aalto’s campus, facilities, equipment, and/or databases. All visitors must have a host, and hosts are required to report all visitors to HR to ensure that all individuals using the university's facilities are appropriately registered.

The most common types of visitors are academic visitors and non-military personnel, with various consultants on the services side also being able to establish a visitor relationship with Aalto. 

On this page, you will find only general information about the visitor agreement and other practical issues regarding visitors. Please notice that certain visitor groups have their own specific instructions, which can be found in detail below:

Academic Visitor

Welcoming academic visitors and providing opportunities for research, artistic practices, and educational activities has been a longstanding tradition in academia. Aalto is proud of its international reach, and we continue to welcome visiting scientists, scholars and researchers from around the world. However, it is essential to consider the constraints related to export control, sanctions, and research security before accepting academic visitors to Aalto.

Access rights at campus

The access rights, like the Aalto ID, are linked to a valid Visitor Agreement, with dates recorded in Workday.  

When the visitor's contract is valid, the visitor can get an access token (e.g., for electronic locks at main doors), similar to an employee. Access rights may vary between buildings. Please contact your building's key responsible for further instructions on obtaining a temporary visitor's pass (and/or mechanical keys) to the campus, which must be approved by the host’s signature.
